Description:

Students in Graduate Schools have the duty to report co-employment or sideline activities such as extra jobs or external research projects. Usually the sideline activity is not allowed to extend a certain weekly limit and needs to be approved before starting.

In the tab „requests“, students can fill out a „request form for co-employment“ and submit it fully digital. In the form, details about the sideline activity, time scope and possible interferences with studies need to be given. Once submitted, the request will go through a multi-stage approval process:

In theory, whoever needs to do the approval, each round will look the same: The responsible person such as admin, supervisor, track representative or Dean will receive an automated notification of a new request. All requests are also shown in a list view. Here, via an „edit“ function, the request form can be accessed and evaluated. There are three options to decide on: deny the request, send it back to student with comments to amend, or approve the request. After approving, this very same process will be repeated by the next responsible person in line of the multi-stage approval process.

After the final approval, the admin can download a report with all the given approvals and if required signatures. This can be forwarded to HR department or trigger additional action such as a side-letter to the employment contract.
