Description:
This feature offers a fully digital process for course proposals, multi-stage approval processes and the integration of approved courses in course lists, facility and time management.
All approved courses are whitelisted. Like this, any course which was offered once is recognized and won't have to undergo another approval process. Students achievements of whitelisted courses are easily added in the transcript and don't need to pass a credit transfers process. Also, this process can incorporate external courses of other institutions as well.
Details:
The course proposal process is divided in several steps. First of all, the course proposal form has to be filled. According to the choice „internal“ or „external“ course, the form will vary accordingly. Next to the basic data such as name, duration, course type and description, the form will also ask to specify grading scheme, attendance rules and prerequisites. For external courses, a link to the external course site and responsible person has to be given.
After submitting the proposal, the responsible faculty will be automatically notified to review a new proposal. If the proposal is insufficient, it can be send back to the course instructor with comments/questions. He or She can implement required changes and resubmit the form. Once approved, the workflow status will change to „approved“ by the responsible person.
The approval triggers an automated second review by the Programm Chair. Again, the proposal can be either denied with comments and the option to resubmit, or directly approved.
Once approved, the course will be listed for the Admin to approve the schedule. Course instructors can indicate their preferred timings as well as block days or certain times. The course will be scheduled accordingly. Once the admin approves timings, the course will now be fully approved. The admin also sets up course booking rules, visibility and registration periods. Courses are then ready for students booking.
All courses which were offered once can come in the category "re-offer" and don't need to undergo the approval process. The list of recognized courses keeps expanding and the workload is therefore constantly minimized.
