Description:
In some cases, PhD students might have already completed the requisite course requirements before joining a program and want to be exempted of a course. This feature facilitates the request and approval process for corse exemptions because of previous knowledge of the student in the respected course.
Details:
In the tab „requests“, students can find a „request for course exemption“ form in their personal menu. In the request form, detailed information about the previous course(s) taken has to be given. Along with that, a document to proof attendance has to be uploaded. The student can then specify the course(s) in their PhD curriculum which they want to be exempted from.
After submitting the request, a review process follows. This process can be designs simple, or as a multi-stage approval process. However many rounds of approval may be added up, the process looks the same in theory:
The responsible person will receive a notification about a new request. In a list view of course exemption requests, the form can be opened and edited. There are 3 options: to approve, deny or to send back the form to the student with a comment. The process can end here, or be extend by a second round of verification.
Once the request has passed all approvals, the final step will be to add the credits for the course the student gets exempted from. Usually this will be done by the admin.
The student can at all times follow the progress of their request in their personal account. After the successful booking of the credits, the status will show „completed“.
