Description:

Some graduate Schools require students after their second year to held annual presentations on their thesis progress. The presentation is usually designed like a proper research talk. Several multidisciplinary researchers would be present to give feedback and discuss the methodology as well as possible first research outcomes. The presentation can take place internal, but also at external forums like a conference.
To follow up on all students presentations, this feature covers the registration process, as well as automated monitoring for deadlines.

Details:

As PhD Students usually progress at different rates, the annual deadline for the presentation gets created individually per student. As soon as a student enters phase two of their PhD program, the system generates a deadline one calendar year ahead. Once a students presentation was held, the next deadline will be automatically defines one year ahead.
Upcoming presentation deadlines can be added on the students dashboard to remind them to register in time. A completed presentation will appear on the Transcript with the grade „completed“.

For the annual presentation the student has to fill a registration form. The „annual students registration form“ covers the title of presentation, a short abstract, date, time and location (internal or external) as well as a free text field to add further information. As soon as the student submits the form, the supervisor will be notified.

Supervisors have a list for annual presentations of all their students. For each student they can see the deadline and the status: Opened, submitted, approved and pending. They can review the submitted registration form and either approve it or send it back to student with feedback to redo it.

The admin can see all students annual presentation status. Admins can communicate in bulk with students who have not yet completed their presentation and send reminders. If a students presentation did not get approved or wasn’t submitted before the deadline, a flag can draw the admins and supervisors attention on it.
