Description:

Rotations usually refer to lab or research rotations which PhD students have to complete in their programs. The amount and duration of such rotations can differ widely according to the program. It can be further differentiated between internal and external rotations as well as compulsory and additional rotations. This feature covers the registration for internal rotations as well as an external rotation approval process. For each rotation, a pre- and post-rotation form for documentation and evaluation can be filled, as well as a grading form at the end. This process can also cover lab immersion as well as requests for double rotations in the same group.

Details:

To register for internal rotations, the process can be included in the standard course booking process. Available rotations are listed and assigned to different modules of students curricular. According to the booking rule, students can immediately book a rotation or will be waitlisted and have to be approved by the rotation supervisor first. The supervisor can see all waitlisted students for his/her rotation. With the accept/deny function, they can accept or deny students manually. After accepting a students booking, pre and post-rotation forms are created for that rotation.

For external rotations as well as double rotation or lab immersion, a rotation approval request form can be added. Students can specify the rotation details and justify their choice. After submitting, the track representative(s) see the new request on their list view for verification of rotation requests. Reviewing the form they can either deny, approve or send it back to the student in case some changes are required. Once the rotation or lab immersion gets approved, pre- and post-rotation forms are created for that rotation.

The pre-rotation form has a deadline before the start of a rotation and can only be filled after the approval of that rotation. It can be filled out fully digital in cooperation of the student and rotation supervisor. The form can be adjusted regarding your institutions needs and contain categories such as project description, expected outcome, criteria of evaluation and more.  After the student and supervisor both filled out their parts in the form, the supervisor submits it and no more changes can be implemented. The form can now be downloaded as PDF and will be permanently saved under „rotation forms“.

The post-rotation form works just as the pre-rotation form in a fully digital communication between student and supervisor. For supervisors there can be questions about the students strength and skills as well as fields to improve on. In a free text field the student can give feedback to the supervisor on aspects of supervision. Completing the form, the supervisor will approve it and a PDF download will be available.

Grading form: After completing the rotation, the supervisor will fill a grading form. The student can view the grading form along with comments of the supervisor. The grade will be updated in the students transcript automatically. In case of external rotations, the external supervisor gets a one-time link to fill out the grading form.
